No. We have a basic service agreement that is signed by your Chief, Sheriff or court administrator. The service agreement basically states that either party may cancel the agreement at any time with 90 days written notice. Our service agreement can be modified to meet your legal department's specifications. Just let us know what changes you feel need to be made and we will seek approval from our end.
Is PayPoliceTicket difficult or time consuming to implement?
No. Once the program has been approved within the department PayPoliceTicket can be implemented within hours.
What is the cost to insurance companies for a crash report?
It will vary. We simply add a $7 convenience fee to the amount your agency wishes to be reimbursed for each report report. This fee helps offset our costs for hosting the data as well as billing and customer service. PayPoliceTicket maintains a toll free customer service help line for you, insurance companies and private citizens to use anytime help is needed.
What do insurance companies think about PayPoliceTicket?
All the major insurance companies are already using PayPoliceTicket to access reports. Insurance companies love the easy access to electronic accident reports 24 hours a day, 7 days a week. Instead of having to wait several weeks or months, electronic accident reports are available for purchase from PayPoliceTicket immediately after agency's supervisor approves the report. My council ordinance only allows for me to charge $5.00 yet you charge $10.00. Do I need to change the ordinance?
No, you will still receive $5.00 for each report from PayPoliceTicket, and you can continue to sell accident reports to citizens at the front counter using PayPoliceTicket and charge the citizen your standard fee.
Do we still maintain all the revenue from our accident reports?
Yes. We reimburse your agency for all of your reports that are viewed through PayPoliceTicket.
How often do you pay us?
We will send you a check on the 15th of each month. A report is included that indicates the number of accident reports that were uploaded during the previous calendar month along with statistics on how many reports were purchased by each major user type (insurance companies, private citizens and legal firms if you choose to service them through PayPoliceTicket).
Can citizens still purchase reports in person paying the normal fee?
Yes. If a citizen chooses to request reports in person you can still service those requests at your normal fee. Your records department staff can even use PayPoliceTicket site to find and print the report being requested.
Can an insurance company continue to request reports through the mail?
No. We do ask that you set a date that insurance companies must use PayPoliceTicket.com site to purchase reports and then return all report requests received from insurance companies after that date. This is accomplished by sending an announcement letter to each insurance company notifying them you are going to be switching to PayPoliceTicket.com site on a specified date. After the cutoff date has passed, your staff can send them another form letter reminding them that all reports must now be purchased through PayPoliceTicket. We will provide you everything you need to make this transition smoothly, including sample form letters.
Please keep in mind that any accident report viewed online results in a reduced work load for your records clerks as well as faster service to the insurance companies and citizens.
What if the insurance company or citizen cannot find the report in PayPoliceTicket?
If they cannot find a report in PayPoliceTicket they are provided with two options. They can email the PayPoliceTicket support staff and we will help them locate the report they are looking for. They can also call our toll free support number and we will assist them over the phone. If the report is not in PayPoliceTicket yet, we will advise them to search again in a day or two. We work very hard to handle the support requests ourselves and keep your staff from having to deal with that burden.
Our road commission sometimes needs copies of our accident reports. Does PayPoliceTicket service them too?
Yes, we will provide your road commission department with free access to your reports.
How do you make sure my reports are always accounted for?
PayPoliceTicket has implemented a powerful total accountability system that tracks every report as it securely moves through our preparation process. From the moment your reports are completed, they are encrypted and monitored for safe delivery. We monitor how long it takes to get from your PC, through our validation system and then to the publishing server. The entire process usually takes less than 12 hours.
How fast will my reports show up after we complete and approve them?
Immediately, if your reports are completed and approved.
My agency gets FOIA requests from attorneys wanting a copy of all injury accidents. Does PayPoliceTicket service these requests?
Yes, PayPoliceTicket indexes the injury codes from your accident reports. We have also created a special login and search tool for attorneys so they can purchase up to a months worth of injury accidents from your agency. Servicing legal firms is completely your decision and is not activated until you instruct us to do so.
My agency files private property accident reports. Can PayPoliceTicket take these types of reports as well ?
We can provide your agency with a standardized private property accident form to use if you need one.
Can you tell me who has downloaded an accident report?
Yes. PayPoliceTicket was built on a powerful document management system. We know exactly who has viewed every report within the PayPoliceTicket system. We can tell you who has viewed a report and take a report offline if necessary.
